Your family's information.
What we collect, why, and how to have it changed or deleted. Short version: only what we need to teach your student, and we never sell it.
>What we collect
Only what you give us, through these parts of the site:
- Sign-up form: your student's name, age, birthday, grade, experience and goals, your name, email and phone, how to reach you, your preferred days and places, and an emergency contact.
- Booking a session: the student's name, your email, the time and type of session, location preference and any note you add.
- “Chat with us”: your name, phone number, email if you choose to give it, and your messages.
- Student dashboard: the email you sign in with, session notes and recaps we write, the ratings you leave, invoices and messages.
- Student photos and projects: only with your written permission (see our photo & media policy). A profile photo, if you give us one, is kept private to our staff.
>How we use it
To schedule and teach sessions, send confirmations and reminders, write session recaps, send invoices, answer your messages, and keep your student safe (for example, knowing who to call in an emergency). If you've asked about our programs, we may email you about them; every one of those emails has an unsubscribe link that works with one click.
>Who we share it with
We never sell or rent your information, and we don't share it with anyone for their own marketing. A few services store or deliver it for us, only to run HopeCoders: Supabase (our database and file storage), Resend (sending email), Vercel (hosting this website) and Zoom (online sessions). We'll also share information if the law requires it, including reporting a concern about a child's safety.
>Children's privacy
Our forms, bookings and chat are meant for parents and guardians, and for adult students. We don't knowingly collect personal information directly from children under 13 without a parent's consent. If you think your child sent us information without you, tell us and we'll delete it.
>Cookies and tracking
We only use the cookies the site needs to work: keeping you signed in to the dashboard and remembering your chat. There are no advertising or analytics trackers, and we don't follow you across other websites, so a browser's “Do Not Track” setting has nothing extra to switch off here.
>Keeping it safe and how long we keep it
Your information is stored with access limited to HopeCoders staff, sent over encrypted connections, and student photos are never given a public link. We keep it while your student works with us and as long as we need it for our records afterwards, then delete it.
>Seeing, changing or deleting your information
Email or call us and we'll show you what we have, correct it, or delete it. California residents may also ask whether we've shared personal information with third parties for their direct marketing; we haven't, and we don't.
>Changes to this policy
If we change how we handle your information, we'll update this page and the date below. For a significant change, we'll tell enrolled families directly.
